1. Booking Confirmation & Payment

• Down Payment: A 25% non-refundable deposit of the total trip cost is required to confirm your booking. This payment helps us to reserve your accommodations, arrange domestic flights, and secure other trip-related services.
• Required Details: Along with your deposit, please send us a scanned copy of your passport (for all trips to Nepal, Tibet, Bhutan) via email. This is necessary to secure flight tickets, permits, and other arrangements in your real name, gender, date of birth, passport number, and home address.
• Final Payment: The remaining balance must be paid on your arrival day in Nepal, prior to the commencement of your trek or tour.

2. Visa and Travel Documentation

• Passport & Visa: You are responsible for ensuring you have a valid passport and the necessary visa(s) for travel to Nepal, Tibet, Bhutan, or any other destination included in your trip.
• Health Regulations: Clients must comply with the health regulations and any required vaccinations for the countries being visited. Please ensure that all travel documents are in order before the trip.

3. Last Minute Bookings

• We accept last-minute bookings for trips, but please note that the total trip cost must be paid in full in advance for immediate confirmation and arrangements.

4. Payment Methods

• Himalayan Nomad Trek offers several payment options, including bank transfers, credit card payments, and other secure methods. Details for the payment process will be provided upon booking.

5. Cancellation Policy

• Non-Refundable Deposit: Please note that the 25% deposit paid at the time of booking is non-refundable.
• Trip Cancellations: If you need to cancel your trip, please inform us in writing as soon as possible. Cancellations may be subject to additional charges based on the time of notice and the services already arranged. We will do our best to accommodate changes, but cancellations may incur penalties for non-refundable services.

6. Health & Safety

• Health Conditions: All clients must disclose any health conditions that could affect their ability to participate in the trekking or tour activities. Our team will take all reasonable precautions, but it is the traveler’s responsibility to ensure they are fit for the planned activities.
• Travel Insurance: We recommend that all clients have adequate travel insurance covering medical expenses, emergency evacuation, and trip cancellations. This is especially important for trekking in remote regions of Nepal.

7. Responsibilities of Clients

• Respect Local Culture: We expect all travelers to respect the local customs, cultures, and traditions of Nepal and the regions you visit.
• Safety Guidelines: Clients must comply with the safety instructions provided by our guides and staff. This includes adhering to the trekking route, health precautions, and other safety measures during the trip.
• Personal Belongings: You are responsible for the safekeeping of your personal belongings during the trip. Himalayan Nomad Trek is not liable for any lost or damaged personal items.

8. Liability

• Limitation of Liability: Himalayan Nomad Trek will not be held responsible for any personal injury, illness, loss, or damage to property during your trip. We provide guidance and support, but trekking and adventure activities inherently involve risks.
• Force Majeure: We will not be liable for delays, cancellations, or modifications to your trip caused by events beyond our control, including but not limited to natural disasters, political unrest, or government regulations.

9. Changes to Terms and Conditions

• Himalayan Nomad Trek reserves the right to update or modify these Terms and Conditions at any time. Any changes will be posted on our website and are effective immediately upon posting.

10. Governing Law

• These Terms and Conditions are governed by and construed in accordance with the laws of Nepal. Any disputes arising from these terms will be resolved in the courts of Nepal.
